Privacy & Data Policy
Last updated 25 June 2026
Working draft — not yet reviewed by a solicitor. Please have this checked before relying on it for compliance, especially given UK GDPR requirements around special category data (psychological or personal feedback can fall into sensitive categories depending on content).
Who we are
Scout is operated by [legal/trading name], a sole trader based in the United Kingdom. For the purposes of data protection law, [legal/trading name] is the data controller for any personal data collected through Scout.
If you have questions about this policy or how your data is handled, you can contact privacy@squidy.tech.
What personal data we collect
When you use Scout, we may collect:
- Your name (to identify you within a feedback project)
- Your email address, if you choose to provide it (used to send you a return link and optional notifications)
- The content of your feedback responses and self-reflection answers
- Basic technical data needed to operate the service (such as session information)
We do not collect more than we need to run the service.
How your data is used
Your personal data is used only to:
- Run your feedback session and connect your responses to the right project
- Send you a return link or service notifications, if you provided an email address for that purpose
- Aggregate feedback so the person you're giving feedback to can see themes and patterns, not who said what
We do not sell or share your personal data
We do not sell, rent, or share your personal data with any third party for marketing or any other purpose. Your data is never given to advertisers, data brokers, or unrelated companies.
Your personal data does not go to AI systems
Scout uses AI to help structure feedback questions and support conversations about the content of feedback. However, your personally identifying information (your name, email address, and any other identifying details) is not sent to or processed by AI models. AI only ever interacts with anonymised, aggregated feedback content.
Anonymised feedback may be reviewed by occupational psychologists
To make sure Scout's guidance and behavioural suggestions are genuinely sound, anonymised conversation content may occasionally be reviewed by qualified occupational psychologists for quality assurance purposes.
This review is strictly limited to anonymised content — no names, email addresses, or other identifying information are included or visible during this process. The purpose is solely to improve the quality, safety, and professional rigour of Scout's advice.
Where your data is stored
Your data is stored with providers based in the EU/UK, in line with UK GDPR data residency expectations. Application and database infrastructure may include Yandex Cloud and other EU-aligned hosting providers.
You can remove your data at any time
You're in control of your data. You can request that your personal data be deleted at any time by contacting privacy@squidy.tech. We will remove your personal data without unnecessary delay, except where we're required to retain certain records by law.
You can also request a copy of the personal data we hold about you, or ask us to correct it if it's inaccurate.
How long we keep your data
We retain personal data for as long as your account or project is active, or as needed to provide the service, unless you ask us to delete it sooner.
Changes to this policy
We may update this policy as Scout develops. We'll note the date of the latest update at the top of this page.
